Institutional Advancement Associate  

Full-time, salaried, exempt

The Institutional Advancement Associate is responsible for fundraising event coordination, corporate sponsorships, community partnerships, and supporting marketing and development activities. This individual must be passionate about building relationships with donors, engaging with supporters across various channels, and ensuring seamless communication and event execution. The ideal candidate is a driven, goal-oriented professional with strong organizational skills and a passion for the arts.

Key Responsibilities:

Fundraising & Donor Engagement

  • Assist in securing corporate sponsorships, and community partnerships.

  • Actively sell programming tickets, class enrollments, camps, and lessons to help drive revenue.

  • Track corporate sponsorship and community partnership recognition.

  • Assist in crafting light marketing and development materials.

Special Event Coordination

  • Assist in planning and executing at least 10 special events annually, including:

    • Annual fundraising gala

    • Private donor house parties

    • Cultivation and stewardship events

    • Corporate sponsorship and community partnership events

    • Other events as required

  • Assist in food and beverage arrangements, setup requests, and space rentals for Institutional Advancement team.

Marketing & Administrative Support

  • Writing and editing marketing copy.

  • Very basic graphic design in Canva.

  • Populate online event calendars with all events happening at Beck Center and by Beck Center.

  • Build pages in website, Framer, and update website as needed.

  • Create social media content, post, and engage in social listening.

  • Support grant writing, donor appeals, and stewardship efforts.

  • Serve as an office team support member, helping with general tasks as needed.

  • Ensure donor and event data is accurately recorded and updated in PatronManager and other databases.

Qualifications & Skills:

  • Experience with fundraising, donor relations, and event planning, preferably in an arts or nonprofit setting.

  • Proficiency in PatronManager (Salesforce CRM) or similar donor database software.

  • Strong interpersonal skills—must love interacting with donors, sponsors, partners and cultivating relationships.

  • Self-motivated, goal-oriented, and a proactive self-starter.

  • Strong organizational and multitasking abilities.

  • Ability to work independently and as part of a team in a fast-paced environment.

  • Passion for the arts and nonprofit fundraising.

  • Ability to drive and travel locally as needed for donor meetings and events.

  • Availability for some nights and weekends for fundraising, sponsorship, partnership, and donor events.

  • Ability to work onsite in Lakewood, Ohio, at least three days a week, with some hybrid flexibility.

ESSENTIAL FUNCTIONS:

Graphic Design & Social Media Content Creation

  • Occassionally assist in design and producing printed and digital materials, including:

    • Playbill program books

    • Web and print advertisements

    • Annual reports

    • Promotional postcards

    • Brochures and donor materials

    • Social media graphics and content

    • Campus signage, update and oversee, and create

  • Create PowerPoint presentations and short promotional videos to support marketing and development efforts in Canva.

  • Develop lobby displays, tabletop displays, signage, and event visual elements.

  • Keep digital files on dropbox account for archives, and three hard copies of each piece produced for Beck Center archives

  • Represent Beck Center at community and networking events. Take and post pictures and videos from events, post on Beck Center socials and tag appropriate people, places, companies and appropriate hashtags

Collaboration & Editorial Responsibilities

  • Collect and organize content from all staff for use in:

    • Annual reports, flyers, marketing materials, donor communications (Donor Digest, etc.).

  • Work closely with cast, crew, designers, and musicians for each production to gather:

    • Headshots, bios, musician names, song lists, director’s notes, and acknowledgments.

  • Edit, proofread, and track multiple drafts of playbills and marketing materials, ensuring accuracy and consistency.

  • Format and prepare materials for printing, internal production, website uploads, and external distribution.

Asset Management

  • Obtain and manage digital assets from corporate sponsors for use in marketing materials.

  • Ensure proper recognition of donors, funders, and sponsors across materials.

Technical & Production Support

  • Maintain up-to-date lists of donors, board members, and other key stakeholders for inclusion in materials.

  • Assist with printing, organizing, and distributing marketing collateral throughout Beck Center’s lobbies.

  • Prepare materials for mail houses, printers, and website uploads.

  • Utilize Framer web experience (preferred) for digital content creation.

Qualifications & Skills:

Required Qualifications:

  • Proficiency in Canva, and PowerPoint.

  • Experience with video creation and editing for short-form promotional content.

  • Strong knowledge of graphic design principles, with the ability to translate artistic vision into compelling materials.

  • Passion for the arts and nonprofit sector.

  • Exceptional organizational skills and ability to manage multiple projects efficiently.

  • Strong editing and proofreading abilities.

  • Experience in social media content creation and engagement.

  • Self-motivated, goal-driven, and able to work independently or as part of a team.

  • Ability to interact effectively with artists, staff, donors, and audiences.

  • Valid driver’s license and ability to travel locally for work-related tasks.

  • Availability for some evenings and weekends to support events.

Preferred Qualifications:

  • Experience designing for both print and digital platforms in an arts or nonprofit setting.

  • Basic photography and videography skills.

  • Familiarity with Framer web design tools.

Salary range:

  • $35,000 to $40,000
