Job Description

POSITION OBJECTIVE

The Coordinator for Foundation Relations will assist with the planning and execution of critical foundation fundraising for medical research, education, training, and community-based programs. The coordinator will provide expertise in data management and analysis to research and disseminate grant opportunities, and to identify growth opportunities or areas of improvement to increase philanthropic support. The coordinator will take ownership of and improve tracking systems and the processes used by the team. The coordinator will develop lasting relationships with foundation leaders and School of Medicine faculty and staff, functioning as a liaison with inter and intra-departmental and institutional units, and affiliated hospitals.

ESSENTIAL FUNCTIONS

  • Assist with the design and management of tracking systems for research proposals in process, and awards granted. Merge multiple reports from the School’s internal SPARTA Research Administration and Advance Donor Management System into Excel spreadsheets to prepare performance and financial reports monthly, quarterly, biannually, and annually. Analyze data for patterns and opportunities to improve grant success rates. (25%)

  • Conduct foundation research to identify key funding opportunities fitting with the mission and goals of the School of Medicine from multiple external resources. This will include funding opportunities to advanced medical research; post-graduate, graduate level, and medical student research and training; medical and graduate school curriculum development and infrastructure resources; as well as support for community-based programs. (25%)

  • Facilitate stewardship and grant reporting obligations and processes for the School of Medicine for top tier foundation funders, in coordination with central foundation relations and donor staff. This will include writing the grants reports in partnership with investigators and staff; and developing stewardship letters. (20%)

  • Generate and manage dynamic faculty roster for funding opportunity distribution for more than 100 topics for approximately 1700 faculty members. Conduct user surveys and develop new ideas to streamline and manage the volume of work and content of funding opportunity emails based on faculty needs. (15%)



NONESSENTIAL FUNCTIONS

  • Develop and conduct biannual benchmarking studies to identify best practices in research development, and construct implementation plans for updating systems. (5%)

  • Serve as a resource for faculty and staff members for foundation relations activities. Have personal contact with university and medical school administration, faculty, staff, and foundation leadership to schedule meetings, conduct prospect cultivation, stewardship, and grant reporting, and managing events (site visits, conferences). (5%)

  • Coordinate schedule and daily operational needs in support of the executive director and assist in all other aspects of the offices as directed. This will include planning for meetings and special events by preparing and distributing agenda materials, follow-up on actions items including correspondence. (1%)

  • Manage the expense reporting process, purchasing activities, and memberships. (1%)

  • Relay information on sensitive matters to constituents, external or within the university. (1%)

  • Stay informed on current university initiatives and activities. (1%)

  • Perform other duties as assigned. (1%)


CONTACTS

  • Department: Daily contact with department staff, as well as executive directors and directors of other departments.

  • Contact with faculty, department chairs, division chiefs, and other leadership as well as staff as required to perform essential functions.

  • University: Regular contact with the president's office, vice presidents, deans, directors of administrative departments, research administration, faculty and staff as required to perform essential functions.

  • External: Daily contact with foundation leadership, donor, and community organizers/advocates. To include contact with foreign visitors, healthcare officials and academic boards and organizations as required to perform essential functions.

  • Students: Infrequent contact with undergraduate, graduate, and professional students as required to perform essential functions.


 SUPERVISORY RESPONSIBILITY

No supervisory responsibility.


QUALIFICATIONS

  • Education and Experience: Bachelor’s degree and 1 year of related experience; or High school education with 5 or more years of related experience required.

  • Prefer experience working with foundations and proposal development.


REQUIRED SKILLS

  • Excellent communication and interpersonal skills: Understanding complex work-related information. Giving full attention to what other people are saying, taking time to understand the points being made, and asking questions as appropriate. Communicating effectively in writing as appropriate for the needs of the audience. Talking to others to convey information effectively. Ability to interact with colleagues, supervisors, and foundation customers/donors face to face.

  • Fully understand the grant proposal process from start to finish. Must be able to find and communicate detailed grant guidelines, policies, and procedures for submission of proposals, in addition to other relevant information.

  • Ability to actively learn—understanding the implications of new information for both current and future problem-solving and decision-making including highly technical / medical content.

  • Ability to work effectively independently, perform position responsibility with a minimum of supervision as well as collaboratively with the team. Attention to quality and detail are essential; and ability to manage multiple tasks with a high degree of competence are required.

  • Ability to meet consistent attendance.

  • Requires deep computer experience with Microsoft Office, particularly Excel, and retrieval of Web-based research grant information.

  • Ability to work independently, and to prioritize work according to deadlines and time-sensitivity. Ability to d position must have the attitude of being dedicated to their position and to give full attention to critical jobs until completed.


 WORKING CONDITIONS

  • General office environment.

  • This position may require occasional overtime during the week and/or on weekends.
