Office Coordinator

Looking for your first employment opportunity in the live events industry or just want to be around the action back at homebase in an employee-forward awesome environment? We're on the hunt for a flexible and bubbly admin who works to maintain a positive pulse in the office while supporting a highly active team that may be in the building or onsite at events.

Description

The Office Coordinator will be responsible for ensuring office operations run smoothly like magic. Being predictive and office-aware will allow you to always stay one step ahead! You own the front-of-house procedures and communications by answer phones, complete administrative tasks, assist in accounting data entry, support key staff members, and be involved in creative solutions and problem solving

How you'll spend your time:

  • Greeting clients, vendors and friends with a warm welcome and spirit to assist on the phone and in-person.

  • Manage all facilities in the office, from making sure cleanliness is everyone’s priority, to ordering and auditing supplies.

  • Be the go-to person for office operations like mail, supply inventory inventory, and checking out desk equipment.

  • Support the FOH departments with various administrative tasks or projects.

  • Be a member of the coordination team, while your specialty is the office, you will also fill in on event coordination as needed.

  • Assist accounting with data entry and basic financial tasks.

  • Support key members of the team with scheduling and light admin support.

Why we'd love to have you:

  • You have the IT Factor.

  • You are an extremely adaptable individual with a passion for live events and entertainment.

  • You learn, you evolve, you persevere.

  • You care about the small details and have phenomenal customer service.

  • You keep calm and work well in an environment that can be high stress at times.

Things you will bring to enhance our vibe include:

  • Good sense of intuition and the confidence to act on it.

  • Physical and mental agility.

  • Advance typing with high accuracy.

  • Stellar communication & responsiveness.

  • Valid driver license and clean driving record (it’s just good to have).

And if you’re looking to get on our VIP list, you have:

  • Prior experience in places such as live event companies, performing arts centers, professional sports teams, and other similar spaces.
